Common problems we help Tampa Bay businesses solve
Our team keeps entering the same customer information into several systems. Who can help?
Byte Bot, a Clearwater software firm, helps Tampa Bay businesses stop copying the same customer details from one system to the next. We agree which system should own each record and connect the tools so the information reaches the next person without being entered again. Where a tool already works, we keep it and connect around it.
Our quotes, contracts, and payments don’t stay in sync.
When quotes, contracts, and payments live in separate tools, staff end up piecing together what a customer actually agreed to and what is still owed. Byte Bot connects those records to the job they belong to. Signed amounts, payment requests, and money received are tracked separately, so sending an invoice doesn’t mark it as paid and an unaccepted quote isn’t counted as signed work. Accounting can stay in the tool you already use, such as QuickBooks.
The developer who built our business system is gone, and nobody maintains it.
Byte Bot takes over and maintains business software that no one supports anymore. We first learn the system as it is: who uses it, which decisions depend on its data, and where people leave it for a spreadsheet or a note. Then we make changes in small pieces your team can check, document the risky areas, and agree on monitoring, fixes, and security updates going forward. We don’t assume the answer is a rebuild.
Our software can’t handle the way we approve and schedule work.
If staff spend their day working around software that doesn’t fit how you price, approve, or schedule work, we can adapt what you have or build the missing piece. We sit with the people doing the work, write down the rules for your team to correct, and build in working versions your staff can try on real jobs before the next decision depends on them.
Should we improve our current system, buy a tool, or build something?
Byte Bot gives you a straight answer on whether to fix, buy, or build. Custom software is expensive to build and has to be looked after for as long as you use it, so if a standard product can do the job, we’ll recommend it. If one part of an existing system is the real problem, we’ll suggest fixing that part and leaving the rest alone. We explain what each option costs and what it can’t do, tell you which we’d pick, and write down what you decide.
We need help prioritizing software spending and managing vendors.
Byte Bot helps Tampa Bay owners set software priorities, plan budgets and timelines, review vendors, and negotiate vendor contracts. Our Advisory package combines that technical leadership with ongoing development from the same team, so the people advising you are also the people building and maintaining the software. You get written priorities and decisions, with costs and tradeoffs explained.
Local proof: Oasis Pavers & Pools, St. Petersburg
Oasis Pavers & Pools is a family business that has built custom pools and paver work around St. Petersburg, Florida, for twenty years. Before working with us, the office was entering leads twice, once in a spreadsheet and once in a partly completed system, checking contract signatures by hand, and carrying updates from desk to desk.
We brought leads, contracts, and payment requests into one office system. It prepares contracts with the required disclaimers and signature fields and keeps signing and payment updates attached to the job, while QuickBooks continues to handle accounting. The office began using the system on August 10, 2026. By early September, owner Brian Godden reported that project managers were using it in their daily work, with alerts replacing walks between offices: “I keep my alerts on, man. Contract signed, deposit received.”
Areas we serve
We work with businesses in Clearwater, Tampa, St. Petersburg, and across the wider Tampa Bay area. We also work with teams across the United States. An onsite visit is part of every engagement.
How an engagement starts
- A free first conversation. Tell us what your team is trying to do and where it gets stuck. You don’t need a technical plan.
- Paid discovery, if it’s a fit. We interview the people who use the software, follow real examples through your systems, and write down what we learn for your team to correct.
- An agreed scope. We agree on the deliverables, timing, and cost before work begins.
- Working versions as we go. Your staff try each piece on real examples while it’s still easy to change.
- Ongoing care. After a build, or once we understand your existing system, the work usually continues under Care, Growth, or Advisory.
You’ll work with Hunter Goram, co-founder, on scope, cost, and planning, and with Ryan Clements, co-founder, who leads engineering, along with the engineers building your software.
Frequently asked questions

Our work includes construction and specialty trades, such as Oasis Pavers & Pools in St. Petersburg, as well as insurance policy and billing, engineering firms, agriculture scheduling, sports federation software, and nonprofits.
Can Byte Bot take over software another developer built?
Yes. We learn the existing system and how your staff use it, work out what we’d be taking responsibility for, and then make careful changes in small pieces. Ongoing maintenance, monitoring, and security updates can be covered under a Care plan.
Do we have to replace our current tools?
No. We look for a way to connect or improve the parts that work before suggesting a replacement. At Oasis, QuickBooks kept handling accounting while job records, contracts, signing, and payments were connected around it.
